Subject: Advice on complain letter
Hey June,
How're you these days? I am not so fine these days as I received a complain letter from a visitor of the Sound System exhibition. I've no idea on how to handle this case and would like to have your advice.
The customer has three complaints. First, he couldn't login the online registraton system. Second, he felt that the venue was too small and overcrowded, and he concerned about the safety as well. The final one is about the insufficient number of leaflets.
I don't know whether I should accept or reject his complaints and what I should I say in order to comfort him. Thanks.
Cheers,
Mung

Subject: Requesting approval of complaint handling
Dear Anne,
I received a complain letter from Mr. Michael Leung on 10 March 2011 about the Sound System Exhibitions 2011. Mr. Leung has three complains on it and each of them would be mentioned in the following:
1. Online registration problem
The customer complained that he could not register through the online system. And, the reason for it is the browser compatibility of the user. We would like to suggest that he upgrades the browser so as to solve this problem.
2. Insufficient space of venue
He mentioned that the venue chosen was too small for the exhibition and he was concerned about the safety as well. We chose this venue because only high quality hotel can match to the theme of the exhibition. However, high quality hotels only come with medium size halls. We could book one more hall in the same hotel next time to accommodate all visitors in the same place.
3. Lack of leaflets
In addition, a lack of leaflet is another problem that he pointed out. Visitors picked extra copies could be a reason of this. To improve this situation, allocating staff to hand out leaflets next time is a feasible solution.
In order to maintain a goodwill, I recommend that we can give him the leaflets by mail.
Please feel free to comment on them and I am looking for your approval.
